I have been asked to write a blog on what is required for the helicopter to "fly-in" to an organised event. Basically, we need quite a large open area clear of obstructions. When I say large, preferably at least the area of half a football field (full size) would be great, however I also understand this is not always available or practicable and so can be worked around. It's OK if the area is surrounded by trees, hedges, fences etc, but please make sure no powerlines are over the landing site.
Livestock and helicopters don't mix, so we ask no livestock (horses, cows etc) in the surrounding area and if people have dogs then please keep them on a lead.
Just so you are aware, all fly-ins have to be cleared by a Civil Aviation Authority (CAA) representative. This is why we have to have land-owners written permission, exact location, map (google image will suffice) and contact details. It sounds very official, however it is a very simple and proven system. In addition to the written permission etc, we have to inform the local police. We ask for a minimum of six weeks to have all the event details, including landowners written permission in place.
Now back to the area required. The area needs to be clear of obstructions, including people, cars, tents etc. If tables, chairs, tents, gazebos are in the surrounding area then they need to be securely tied down. The main reason is that the helicopter causes quite a lot of down wash (air blown down through the rotor blades) and tents etc can easily be blown away, causing damage to other objects and bystanders. If buildings are near, make sure windows and doors are shut. If on a tarmac surface, dust and gravel can be blown about (especially in the summer when the ground is dry), so people, especially children, need to be made aware of protecting their eyes. It is always good to have a demarcation line e.g. white football pitch line, barrier, road, footpath etc that people can stand behind. It means that crowds can be controlled easily and the helicopter can then arrive safely. Also if the helicopter is called out while on the visit, the public can be asked to clear the area to behind the demarcation line in an orderly manner.

Please remember, if you would like to have the Air Ambulance at your summer event, you should send your request in early, as the available slots are filling up fast.
